The ROI of meeting intelligence: numbers and real cases

Meeting intelligence has a cost: €19.90 per user per month on the annual Pro plan, or €24.90 monthly. But what is the actual return? Here are the numbers our first customers measured after three months of use.

Time saved: two hours a week, per person

This is the most immediate metric. On average, a professional spends 4.5 hours a week in conversations, whether video calls, phone calls or in person. For each hour of conversation, writing the minutes by hand takes around 25 minutes.

With Gilbert that time drops to zero. The write-up is generated automatically in two minutes. Over a week that is two hours recovered, or 100 hours a year. At an average hourly cost of €80, that is €8,000 of productivity recovered per person.

Decisions traced: from 60% to 100%

With a consulting firm as customer, we measured how many decisions were actually recorded before and after Gilbert:

  • Before: 62% of decisions taken in a meeting made it into the minutes
  • After: 100%. Gilbert identifies and records every decision automatically, including implicit ones

The 38% of decisions lost before Gilbert generated misunderstandings, delays and extra meetings to clarify them again. Estimated cost: one to two unnecessary meetings a week.

A CRM that fills itself: 35% more data captured

A SaaS scale-up customer, series B with 25 sales people, measured Gilbert's impact on CRM data quality:

  • Before: 45% of sales calls had complete CRM follow-up
  • After: 80%. Insights, objections and next steps are injected into the CRM automatically

The result: a more reliable pipeline, more accurate forecasts, and handovers between sales people that lose no information.

Adoption: 92% at 30 days

Across all our customers, whatever their size, adoption at 30 days is 92%. That is, 92% of the users who tried Gilbert are still using it actively a month later. That rate is exceptional for B2B SaaS, where the market average sits around 40 to 50%.

Working out the return

For a team of ten on the annual Pro plan:

  • Annual cost: 10 × €19.90 × 12 = €2,388
  • Time saved: 10 × 100 hours × €80 = €80,000
  • Return: 33 times the investment

And that leaves out the qualitative benefits: better traceability, fewer misunderstandings, a more reliable CRM, knowledge that accumulates.

In closing

Meeting intelligence is not a nice to have. It is an investment with a return measured in days, not months. And the Discovery plan is free, with 120 minutes a month to prove it to your management.
